Create a budget plan files snapshot

You can create a snapshot for your budget plan files that includes all plan file parts.

IMPORTANT: Content in a snapshot is based on the security of the user who creates the snapshot. The snapshot itself has no security. Therefore, ensure that you distribute budget snapshots to users with proper security.
For example, if the creator has access to salary data, the snapshot will contain this information. Anyone who sees the snapshot can view the salary information, regardless of their permissions.

The process to create a budget plan file snapshot includes creating a new scheduler job and adding a Process Plan Files task. The snapshot contains plan file parts based on user security.

  1. Click Scheduler from the Admin ribbon.
  2. On the Job tab, click New > Tasks > Add > Process Plan Files.
  3. On the Options tab, click Generate Archive File.
  4. Specify the file group for which to create a snapshot in the Select File Group field.
  5. Specify a file path to the server in the Output folder field. This is the server that contains the snapshot outputs. Verify that the proper security is configured for this server.
  6. On the Plan Files tab, select the plan files to print. The snapshot includes any plan file parts associated with the selected plan files.
  7. Click Save.
